Record Keeping and Reporting

In line with CCPA regulation, a business shall maintain records of consumer requests and how it responded to the requests for at least 24 months (see: 999.317. Training; Record-Keeping). Similarly, GDPR requires audit trails and logging to demonstrate that personal data is being managed and handled properly.

With Ethyca, the necessary components for record keeping are all logged in your Control Panel "Reports". This guide will focus on the below Report types:

• DSR
• Consent

What is a DSR Report?

A DSR report provides a log of all the data subject request in your account. The report will include:

• A reason for denial column to provide detail on why a request may have been denied
• Average days it took the business to review the requests for both access and erasure
• The data subject email
• The date the data subject request was received
• The date the data subject request was reviewed
• The request type (Erasure or Access)
• The reviewer or approver of the request
• The status of the request (e.g. if it has been Approved)
• The total number of requests received and pending

You have the option to open the DSR report in a new window or download the report directly from the Control Panel as a CSV. Reporting is available monthly and updates in real time.

What is a Consent Report?

All of your subjects' consent statuses are available in the Control Panel. This is key for maintaining a record of the subject opt-out requests you have honored for compliance.

The report will include:

• Consent categories consented or objected to
• The subjects' location
• Their consent record (true or false, or in the case of cookie consent, 4 true/false values corresponding to each of the cookie categories)
• The date the consent occurred.

You have the option to open the Consent Report in a new window or download the report directly from the Control Panel as a CSV. Reporting is available monthly and updates in real time.
